Overview

As our BI & Operations Analyst, you will be the strategic bridge between our financial operations and data-driven decision-making. You’ll manage company financials while serving as the key liaison between our managers, bookkeeper, CPA, and CEO. Beyond traditional financial management, you’ll leverage business intelligence and automations to optimize our operations, define key performance indicators, and provide actionable insights that drive business growth. Your dual expertise in financial management, automation, and data analysis will be essential in helping Geekbears achieve its strategic goals and scale efficiently.

Responsibilities

Business Intelligence & Strategy

  • KPI Definition & Reporting: Define and track key performance indicators (KPIs) including revenue metrics, sales KPIs, conversion rates, and capitalization rate; generate quarterly reports to monitor progress against financial goals
  • Strategic Analysis: Partner with leadership on financial strategy, analyze performance data, identify trends, and provide data-driven recommendations to guide business decisions
  • Workload & Resource Management: Enhance resource management from a data perspective, providing insights to optimize efficiency and identify when new hires are needed based on analysis
  • Accounts Receivable (AR) Strategy: Oversee and refine our AR strategy to ensure team leads have clear visibility into invoice collections and payment timelines
  • Project Profitability Oversight: Implement and monitor structured strategies for project financial success and profitability tracking
  • Automations & Insights: Develop automation solutions using AI tools, APIs, and no-code platforms; create custom reports and ad hoc data-driven analyses to streamline operations and support decision-making

Financial Management

  • Bookkeeping & Reporting: Collaborate with our bookkeeper to maintain accurate records and deliver monthly, quarterly, and annual financial reports (balance sheet, P&L, cash flow) on time
  • Payroll & Compensation: Ensure payroll for all contractors is accurate and processed on schedule; oversee compensation packages, perks, and benefits to support retention and team success
  • Expenses & Budgeting: Track debt, loans, recurring costs, licenses, and payroll changes; proactively flag new expenses and assist with budgets, forecasts, and cash flow management. Oversee our financing strategy.
  • Tax Coordination: Work with our CPA to ensure LLC and member taxes are filed accurately and on time
  • Bonuses & Commissions: Calculate and process bonuses and commissions within one month after each quarter, based on established agreements and terms

Qualifications

Education & Experience

  • Bachelor’s degree in Finance, Accounting, Business Intelligence, IT, or related field (Master’s degree or CPA preferred)
  • 5+ years of proven experience in financial management, including payroll, financial reporting, and budgeting
  • Demonstrated experience in a Business Intelligence (BI) role with hands-on work creating automations and dashboards
  • Experience working with small and mid-sized businesses, particularly in tech or agency environments, is highly valued

Key Skills & Competencies

  • Strategic & Analytical Thinking: Strong ability to analyze complex data, identify trends, and translate insights into actionable business strategies
  • Financial Expertise: Deep understanding of financial planning, budgeting, reporting, compliance, and tax regulations
  • Business Intelligence: Proficiency in BI tools, automation using APIs (Make, Zapier, or similar), and data visualization platforms
  • AI Tools Proficiency: Solid experience using ChatGPT, Claude, or similar AI tools for automating reports, streamlining manual processes, and enhancing productivity; experience with AI agents is a plus
  • Cross-Functional Collaboration: Ability to work effectively with managers and leadership to achieve business objectives
  • Communication: Excellent verbal and written skills in Spanish and English, capable of presenting complex financial and technical insights to non-financial stakeholders
  • Integrity & Ethics: High ethical standards with focus on accuracy, confidentiality, and transparency in all financial matters
  • Technical Proficiency: Advanced skills in financial software, BI platforms, data analysis tools, and spreadsheet applications (Excel, Google Sheets)

CRM Experience: Experience working with CRMs (Zoho CRM experience is highly encouraged)
